Administrative Assistant

The Parts House

This is a Full-time position in Orlando, FL posted July 31, 2021.

The Parts House (TPH) is the fastest growing Direct-to-the-Installer parts supplier in Florida, Georgia, Alabama and Puerto Rico.

We carry 180,000 different part numbers covering 185 product lines from dozens of Manufactures.

The Parts House is actively searching for new talent to join our growing team.


Complete a wide array of administrative and office support activities for the department managers and team members in order to facilitate efficient business operations.

Essential Duties and Responsibilities include, but are not limited to, the following:
Answer, screen and transfer inbound phone calls; schedule conference calls.

Receive and direct visitors and clients; interact with visiting vendors.

General clerical duties, including photocopying, faxing and mailing.

Reroute or respond to customer inquiries related to information and data.

File incoming documents; maintain electronic and hard-copy filing systems.

Prepare and adjust correspondences, reports, drafts, memos and emails.

Schedule and coordinate manager meetings, appointments and travel arrangements.

Assist in preparing financial plans, budgets and forecasts.

Liaise with third parties to develop marketing materials and documents; assemble and distribute marketing packages and prepare materials for marketing events.

Manage the inventory of giveaways, promotional items, gifts and product samples.

Assist in organizing marketing, sales, departmental and customer events.

Assist with invoices and managerial expense reports.

Update customer pricing per sales representatives and manager requests.

Liaise between field sales staff and internal staff.

Assist with data entry, and receive purchase orders into the company system.

Education and/or Experience
A high school degree, GED (General Educational Development) certification, or equivalency.

At least 2 years of accounting or financial experience, or an associates degree.

Proficient knowledge of accounting principles and practices.

Computer Skills
Advanced knowledge of Microsoft Excel and functions.

Able to learn basic programming skills.

Basic working knowledge of Microsoft Office.

Physical Demands
Able to sit for prolonged periods of time.

Able to reach with arms and hands, talk, hear, and lift up to 35 pounds.
