Bilingual Front Office Administrator

Ultimate Staffing is searching for a Bilingual Front Office Administrator with strong administrative assistant skills on a contract to hire permanent basis for a construction company near the North Star Mall area.

This client will conduct interviews immediately!  Summary:  Under general supervision, the Receptionist is required to operate a multi-line telephone system to answer incoming calls and directs callers to appropriate personnel.  Manages incoming/outgoing mail delivery.

 Responsible for managing the application process and responding to job inquiries from potential candidates.   Welcome/direct visitors and clients to their respective point of contact.

Primary Responsibilities: Answers incoming telephone calls in a timely manner, determines purpose of callers, and forwards calls to appropriate personnel or department Takes and delivers messages or transfers calls to voice mail when the appropriate personnel are unavailable Answers questions about organization and provides callers with address, directions, and other information Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel Receives, sorts, and routes mail Maintains fax machines, assists users, sends faxes, and retrieves and routes incoming faxes, basic troubleshooting techniques or contact corresponding provider to resolve any issues with the machines Maintains postage machine current with money and accurate fee Maintains company’s main printer/copier assists users and ensures that paper is loaded as needed.  Submits meter readings to leasing company for accurate billing for color and black and white copies, contact support when needed Maintains front desk area, copy room and closet in a neat and organized fashion Creates and prints fax cover sheets, memos, correspondence, reports, and other documents when necessary Orders, receives, and maintains office supplies Maintains companywide calendar and contact list, as required Performs other clerical duties and special projects as needed, such as filing, photocopying, courier, and printing plans Responsible for providing administrative support to Accounting, to include but not limited to: Print and log incoming Invoices, match invoice with the ticket, follow up with project coordinators for missing tickets.

Create, log and process waivers for vendors, release payments when waivers are received.

Notarizes lien releases Performs other duties as assigned Skills/Qualifications High school diploma or general education degree (GED) required 2+ years of related experience and /or training Bilingual required (English/Spanish) Basic knowledge of Microsoft Outlook, Word and Excel applications Notary preferred Demonstrates the ability to write routine reports and correspondence Demonstrates the ability to speak clearly and concisely at an appropriate volume Demonstrates the ability to present themselves in a professional manner at all times Demonstrates the ability to apply common sense understanding to carry out detailed written and oral instruction Demonstrates accuracy and thoroughness in the quality of the work Demonstrates effective written and oral communication skills Demonstrates responsibility in reporting to work on a consistent and timely basis along with the ability to work varying schedules, as needed, to include working overtime Background and drug screen will be conducted.

This a contract to hire perm position, M-F 8-5 schedule.

For the right candidate, this role is looking to pay between $14-16 an hour, depending on experience.
