Personal Assistant


This is a Full-time position in Sarasota, FL posted August 1, 2021.

Job Summary:

Our CEO/President is looking for a personal assistant who is capable of providing support to an executive and his spouse on both a personal and a professional level. This position requires discretion, the ability to keep confidential information, and have a “can do” attitude. The Personal Assistant must be a competent multi-tasker and able to handle all projects with sensitivity and precision.

Job Duties and Responsibilities:

  • Manage and execute against an active project list (daily, weekly, monthly, annually)
  • Manage day to day bill payment and cash management (e.g., pay bills, request wire transfers)
  • Pull off the impossible when it feels like the CEO’s calendar cannot accommodate a change, reschedule, or new meeting invite to an already active calendar of meetings, events, and appointments
  • Coordinate and plan to reset the house or other properties to accommodate incoming visiting guests, hosted events, and more
  • Arrange and provide travel to meetings, appointments, and more
  • Act as a liaison between CEO and vendors to address questions and needs pertaining to house or other property repair & maintenance needs
  • Manage and coordinate incoming foot traffic into the home or properties (visiting guests, repair or maintenance vendors)
  • Coordinate special requests and projects (both personal and professional) at the direction of CEO + spouse
  • Represent the CEO through thoughtful and professional correspondence with external stakeholders through various communication channels (phone, text, email) – responsive, well-articulated, clear communication, appropriate formatting
  • Categorize, organize, and audit inventory list of all home and property warranty items, home assets, and preferred vendors
  • Coordinate and provide strategic partnership support to preferred in-home or property vendor relationships that are meaningful to the family and businesses
  • Manage and execute all reservations for social events, meetings, or dinners
  • Manage day to day activities, time commitments & priorities as needed

Skills and Qualifications:

  • 3-5 years progressive and proven professional experience as a personal assistant
  • Proficient in Microsoft Office suite
  • Simple accounting knowledge
  • Self-starter who activates and executes with limited directives with a sense of urgency
  • A “do-er” who can execute with immaculate detail and strong communication back on project status
  • Must possess a well-developed ability to read the internal and external landscape
  • Must have strong organization and task management to understand, prioritize, and act on the many requests received in a timely manner
  • Experience managing active or busy executive
  • Proven work experience as a personal assistant
  • Flexible – Can adapt to the CEO’s constantly changing schedule and needs
  • Tech-savvy, organized and can anticipate the needs of the CEO
  • Ability to multitask and prioritize requests
  • Discretion and confidentiality – Must be extremely professional
